Scholaris Private Limited (“Scholaris,” “we,” “our”) is the Data Fiduciary as defined under the Digital Personal Data Protection Act, 2023 (“DPDPA”). We are responsible for how your personal data is collected, stored, processed, and protected.

2. Scope

This policy applies to all digital personal data collected through scholaris.co.in, kairo.scholaris.co.in, our contact forms, and any other digital interactions with Scholaris. It is governed by the DPDPA 2023, the Digital Personal Data Protection Rules 2025, the Information Technology Act 2000, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules 2011, to the extent applicable during the phased implementation of the DPDPA.

3. Personal data we collect

We collect only the data necessary for the specific purpose for which you engage with us. The categories and purposes are as follows:

4. Consent

We process your personal data based on your consent. You provide that consent by ticking the consent checkbox on our forms or by beginning the Kairo career discovery experience — which constitutes free, specific, informed, and unambiguous consent for us to process your data for the purposes described in this policy. You may withdraw your consent at any time by emailing info@scholaris.co.in. Upon withdrawal, we will cease processing your data, though this will not affect the lawfulness of processing carried out before withdrawal.

5. Children’s data

Under the DPDPA, a “child” is any individual who has not completed eighteen years of age. Kairo is designed for users aged 14 and above. For users between 14 and 17 years of age, we require verifiable consent from a parent or legal guardian before processing personal data. This consent is obtained during the Kairo registration process. We do not knowingly collect personal data from any individual under the age of 14. If we become aware that we have collected data from a person under 14, we will delete it promptly.

In accordance with the DPDPA, we do not engage in tracking, behavioural monitoring, or targeted advertising directed at children.

6. How we use your data

Your data is used strictly for the purposes for which it was collected. Specifically, we use your data to generate personalised Kairo career reports, respond to enquiries submitted through our website, follow up with relevant programme information and career guidance, improve the quality and relevance of our services, and comply with applicable legal obligations. We do not use your data for targeted advertising. We do not sell, rent, or trade your personal data to any third party.

7. Data sharing and third party processors

We engage the following third party service providers (Data Processors) in the operation of our services. Each processor is contractually bound to process your data only as instructed by us and to maintain appropriate security measures.

Your psychometric response data is sent to the Anthropic Claude API solely for the purpose of generating your personalised career report and adaptive questions. This data is processed in real time and is not stored by Anthropic beyond the duration of the API request. We do not share your personal data with any other parties except as required by law or court order.

8. Cross border data transfers

Certain data processors we use are located outside India, including in the United States and the European Union. Under the DPDPA, cross border transfer of personal data is permitted to all countries except those specifically restricted by the Central Government of India. As of the effective date of this policy, none of the countries to which we transfer data are on the restricted list. Should this change, we will update this policy and cease transfers to any restricted jurisdiction.

9. Data retention

We retain your data only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. Expired records are automatically deleted by our backend processes.

After the applicable retention period, your data is permanently deleted from our systems. You may request early deletion at any time (see Section 10 below).

10. Your rights as a Data Principal

Under the DPDPA, you have the following rights regarding your personal data:

Right to access

You may request a summary of the personal data we hold about you and the processing activities we have carried out.

Right to correction

You may request correction of any inaccurate or incomplete personal data we hold about you.

Right to erasure

You may request that we delete your personal data. Upon receiving a valid erasure request, we will delete your data within 30 days, unless retention is required by law.

Right to withdraw consent

You may withdraw your consent to data processing at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Right to grievance redressal

You have the right to raise a grievance regarding our handling of your personal data. See Section 14 for details on our grievance redressal process.

Right to nominate

You may nominate another individual to exercise your data rights on your behalf in the event of your death or incapacity, as provided under the DPDPA.

To exercise any of these rights, email us at info@scholaris.co.in with the subject line “Data Principal Request.” We will respond within 7 days of receiving your request.

11. Data security

We implement reasonable technical and organisational security measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These measures include HTTPS encryption across all our web properties with HSTS enforcement, Content Security Policy headers, secure API communication with encrypted data transmission, access controls limiting data access to authorised personnel only, bcrypt-hashed admin credentials, CSRF token protection on all form submissions, regular review of security practices, and secure deletion of data after the applicable retention period. While we take all reasonable precautions, no method of electronic storage or transmission is completely secure. If you become aware of any unauthorised access to your data, please notify us immediately.

12. Data breach notification

In the event of a personal data breach, we will notify the Data Protection Board of India without unreasonable delay upon becoming aware of the breach, and submit a detailed report within 72 hours as required by the DPDP Rules 2025. We will also notify affected Data Principals promptly with information about the nature of the breach and steps they can take to protect themselves.

13. Cookies and analytics

Our website uses a small number of essential cookies only:

  • scholaris_csrf: a short-lived (30 minute) token used to prevent cross-site request forgery on form submissions. HttpOnly, Secure, SameSite=Lax.
  • SCHOLARIS_ADMIN: a session cookie used only for authenticated access to our internal submissions dashboard. Not set for ordinary visitors.

We do not use cookies for behavioural tracking or targeted advertising. If we implement Google Analytics or similar tools, the data collected will be anonymised and used solely to understand how visitors interact with our website so we can improve the experience. You may disable cookies through your browser settings at any time; doing so may prevent form submissions from working.

14. Grievance Officer

The Grievance Officer will acknowledge your complaint within 24 hours and resolve it within 30 days of receipt. If you are unsatisfied with the resolution, you may file a complaint with the Data Protection Board of India as established under the DPDPA.

15. Changes to this policy

We may update this privacy policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. The updated policy will be posted on this page with a revised effective date. If the changes are material, we will make reasonable efforts to notify affected Data Principals. Your continued use of our services after the updated policy is posted constitutes your acceptance of the changes.

Terms of Service

1. Acceptance

By accessing scholaris.co.in, kairo.scholaris.co.in, or any service offered by Scholaris Private Limited, you agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, please do not use our services.

2. Description of services

Scholaris provides education programme management services to universities and colleges, career discovery through Kairo, career counselling, study abroad advisory, skill development workshops, and placement support. The specific scope, availability, and nature of services may change over time.

3. Eligibility

Kairo is available to individuals aged 14 and above. Users between 14 and 17 years of age must have verifiable parental or guardian consent before using Kairo. By registering for Kairo, users aged 14 to 17 confirm that a parent or guardian is aware of and consents to their use of the service. Our website and contact forms are available to all visitors. Institutional enquiry forms are intended for authorised representatives of educational institutions.

4. Kairo career discovery

Kairo is a career discovery tool that provides structured insight into your interests, strengths, values, and potential career paths based on established psychometric frameworks. It is designed to serve as a starting point for career exploration and planning.

Kairo is not a substitute for professional career counselling, psychological evaluation, or clinical assessment. The career report generated by Kairo reflects patterns in your responses and is informational in nature. It should be considered alongside guidance from counsellors, mentors, educators, and family members.

Scholaris does not guarantee any specific career outcome, job placement, or academic admission based on your Kairo report. Career decisions involve many factors beyond the scope of any single tool, and responsibility for such decisions rests with the individual (and their parent or guardian, in the case of minors).

5. Accuracy of information

You agree to provide accurate, current, and complete information when using our services. Providing false, misleading, or another person’s information may result in a career report that does not reflect your actual profile and may constitute a violation of these terms.

6. Intellectual property

All content, design, code, methodology, scoring logic, report templates, branding, logos, and text on scholaris.co.in and kairo.scholaris.co.in are the intellectual property of Scholaris Private Limited. This includes the Kairo name, the career discovery methodology, and the report generation system. Reproduction, distribution, modification, reverse engineering, or commercial use of any part of our intellectual property without prior written permission is prohibited.

Your individual Kairo report is yours. You may download, print, share, and use your report for personal and educational purposes.

7. Limitation of liability

To the maximum extent permitted by applicable Indian law, Scholaris Private Limited shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of our website, Kairo, or any service we provide. This includes, without limitation, damages arising from career decisions made based on Kairo reports, reliance on information presented on our website, service interruptions or technical failures, and unauthorised access to your data resulting from circumstances beyond our reasonable control. Our total liability for any claim shall not exceed the amount you paid to Scholaris for the specific service giving rise to the claim, or Rs 5,000, whichever is greater.

8. Service modifications

Scholaris reserves the right to modify, suspend, or discontinue any service, including Kairo, at any time with or without notice. We will make reasonable efforts to communicate significant changes in advance. We are not liable to you or any third party for any modification, suspension, or discontinuation of our services.

9. Prohibited use

You agree not to use our services to impersonate another person or provide false information, attempt to gain unauthorised access to our systems or data, use automated tools to scrape, crawl, or extract data from our website, interfere with or disrupt the operation of our services, use Kairo or any Scholaris service for any unlawful purpose, or commercially exploit Kairo reports, our methodology, or any proprietary content without written permission.

10. Indemnification

You agree to indemnify and hold harmless Scholaris Private Limited, its directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from your violation of these terms, your use of our services, or any action taken by us as part of our investigation of a suspected violation.

11. Governing law and jurisdiction

These terms are governed by the laws of India, including the Digital Personal Data Protection Act 2023, the Information Technology Act 2000, and all applicable rules and regulations. Any disputes arising from these terms or your use of our services shall be subject to the exclusive jurisdiction of the courts in Thane, Maharashtra, India.

12. Severability

If any provision of these terms is held to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect.

13. Entire agreement

These Terms of Service, together with the Privacy Policy, constitute the entire agreement between you and Scholaris Private Limited regarding your use of our services, and supersede any prior agreements or communications on this subject.
